Privacy Policy
Effective: July 12, 2026 · The short version: we collect what the product needs, youth data is adult-managed and deletable, and we never sell data or build advertising profiles.
What we collect
- Account information: your name, email, password (stored as a salted hash — we cannot read it), account type, and — for coach and club accounts — your typed certification (legal name, organization, role, timestamp).
- Team data you upload: team names, rosters (player names, jersey numbers, positions), statistics files, and the context you attach (event dates, tournament names, opponents, comments).
- Generated content: the metrics and reports the service produces from your uploads.
- Billing: handled by Stripe. We never see or store card numbers — only subscription status.
- Basic operational logs (errors, usage counts, AI cost accounting) to run and secure the service.
Youth athlete data
Athletes under 18 do not have accounts. Roster and statistics data about minors may only be entered by an authorized adult, is used solely to produce the reports that adult requests, and can be deleted at any time — deleting a team or account permanently removes everything under it. We do not build profiles of minors, we do not use their data for advertising, and opponent features never profile individual opposing players.
How AI is involved
To write report narratives, we send computed metrics — and the roster/context needed to explain them — to Anthropic's Claude API. Under the API terms we use, that data is not used to train Anthropic's models. All arithmetic is done by our own software before the AI is involved.
What we never do
- No selling or renting data — ever
- No advertising profiles, no third-party ad trackers
- No sharing your team's data with other users without your action
Cookies
One cookie: a signed session token that keeps you logged in. No analytics or advertising cookies.
Where data lives
Data is stored in managed cloud databases (currently Neon Postgres) and served through Vercel, both in the United States. Email verification messages are sent through Resend. Payments run through Stripe.
Your controls
- Delete any report, dataset, team — or your whole account — from inside the app, instantly and permanently.
- Export: your uploaded files and reports are downloadable while your account is active.
- Questions or requests: support@sideoutcoach.com.
Directory & search
SideOut Coach has a directory so people can find each other and request to link. Only adults and organizations are ever searchable, and a minor is never findable by a stranger. Clubs are listed by default (a club owner can hide theirs). Coaches and individual teams are hidden by default and appear only when they choose to opt in; a discoverable team shows its name, age/level/season, and public ID — never its roster. Searching for a player only ever returns athletes on teams you already belong to — there is no index a stranger can search to find a child. Linking still works the old way too: a coach can share a private team code that involves no directory listing at all.
Changes
If this policy changes in a way that matters, we'll say so in the app before the change takes effect.
